1. What are the conditions of your Travel Agents program?

2. I do not have an IATA or Travel Agent number. What can I do?
This program is exclusively for registered travel agents. Should you not be able to provide an IATA, Travel Agent or equivalent registration number, you can still become a member and earn member dollars by signing up for our FREE Membership Program.
If you run a travel related website, you may also be interested in earning commission through our Affiliate Program.
3. How do I pay for the booking?
When you log in as a travel agent, you will have access to exclusive travel agent nett rates. Please note - these are already discounted rates and no commission is paid to you. You will be charged the total amount displayed on the HotelClub website that you see when you log in and make your selections. What price you decide to charge the client after that is entirely up to you.
When submitting a reservation request, you MUST provide valid credit card details as payment, otherwise your request will not be processed. You card is ONLY charged when the hotel confirms the booking back to us. To submit your payment details, you can use our secure online form or you can also submit your payment details by fax or phone.
4. I am a registered Travel Agent, how do I get my commission?
The rates that HotelClub offers to Travel Agents are our discounted agent rates and therefore, are not commissionable. If you wish to sell the accommodation to a client at a profit, you can mark-up the rates provided. If you'd like more information about the mark-up feature, please contact us.
5. How do I log in to my Travel Agent account?
To sign in, please click on the "Travel Agent" tab on the top of the page and enter your Password and Travel Agent ID into the "Travel Agent login" box on the top right of the page. Once you have logged in successfully, your agency name will appear on the top left corner.
6. I am registered as a Travel Agent with your program but my login details don't work, what should I do?
Firstly, please make sure that you are trying to log in to the Travel Agents section and not the Membership section of our website (please refer to "How do I log into my Travel Agent account?"). If you continue to experience problems, please fill out our Travel Agent Support Form. Please provide the name of the Travel Agency, your Travel Agent ID and your IATA/TA registration number.
7. I logged into my Travel Agent account but get a message saying that my account is not active. What does this mean?
After applying for a travel agent registration with HotelClub, we require time to review your application. For successful applications, please allow at least 48 hours before your account is activated. You will be notifed by email when your account is active.
8. How can I change my details?
To change your details, including your password, please log in to your Travel Agent account and click on "Account Update" in the sub-menu.
9. I have lost my Travel Agent ID and/or password, how can I receive another copy of my details?
To receive another copy of your login details, please fill out our Travel Agent Support Form. Please provide the name of the Travel Agency, Travel Agent ID and your IATA/TA registration number.
10. Can I earn commissions on other service shown on your website?
Additional services listed on our site (Flights, Car Hire, Tours & Attractions, Insurance & Phone Cards) are non-commissionable.
11. Is the HotelClub logo or our logo/branding on the hotel voucher?
The hotel voucher is a White Label voucher meaning that there is no logo or brand on the voucher. To see an example of the hotel voucher please click here. We suggest that you provide your client's itinerary with your letter head to enforce your branding, along with the hotel voucher.
12. Can we issue our own voucher?
To get these great travel agent prices we have negotiated contracts with the hotels. Therefore, you must use the voucher we issue in accordance with the hotel contracts.
13. Will our clients be able to see the price we paid on the voucher?
No, your clients will not be able to see the discounted nett rates that you pay. The white label hotel vouchers do not show any price on them at all, so you are free to charge whatever mark-up you like. Ensure that you use your travel agency credit card, otherwise the nett rate will show on the client's credit card. The voucher does not indicate the credit card details used for the booking, in order to protect your confidential information..
14. Who has to sign the hotel voucher?
The registered guest, who is checking in, must sign the voucher.
15. Whose details do we enter in the 'Guest Details' when making a booking?
Enter your client/guest's first and last name, city and country. However, make sure that all of the contact details - contact email, phone and fax numbers are your (agent's) contact details. Please note - The Confirmation/Accommodation voucher, that needs to be signed by the registered guest who is checking in, along with any other correspondence, will be sent to the email address provided in the booking.

18. How do I make a Group Booking?
For bookings that are for 11 or more rooms, use the Group Booking Request Form. To access the Group Booking Request Form, login to your Travel Agents account and click on the Group Bookings link at the top of the page. Simply fill out the details, submit the request and you will be sent the Group Bookings Terms and Conditions to sign and fax back.
